JOB DESCRIPTION:
The Contract Manager/Bid Specialist plays a critical role in the negotiation and management of contracts with Contract Management Companies (CMC’s), along with managing the process of completing and submitting bids, proposals and contract renewals primarily for foodservice programs. This position requires expertise in pricing strategies, contract terms, and operational agreements, ensuring favorable terms for the organization while maintaining strong relationships with external service providers.
RESPONSIBILITIES
· Lead the negotiation of service agreements with CMC’s, ensuring the best pricing and terms for the organization.
· Analyze market trends and develop pricing strategies that align with budgetary constraints while securing competitive rates.
· Review and revise contracts to ensure clarity, accuracy, and alignment with company goals and legal requirements.
· Evaluate CMC contracts, RFP’s, bid solicitations and pricing data to provide insights to management on contract performance, cost variances, and potential areas for negotiation.
· Work closely with finance, operations, and procurement teams to align contract terms with organizational objectives and ensure smooth implementation.
· Ensure contracts comply with industry regulations and mitigate any risks related to pricing, service terms, or operational challenges.
· Coordinate and complete all aspects of bid submissions, including gathering documentation, pricing, product information and certifications.
· Track bid opportunities and manage a bid calendar to ensure timely submissions.
· Maintain a database of submitted bids, outcomes and renewal timelines.
· Work closely with sales and marketing teams to align bid responses with business goals and product strategy.
REQUIRED QUALIFICATIONS :
· Strong knowledge of foodservice management operations and contract negotiation processes.
· Experience with managing contracts with large service providers.
· Analytical skills to evaluate pricing, contracts, and market trends.
· Excellent negotiation and communication skills.
· Ability to manage multiple deadlines and prioritize effectively.
· Proficient in Microsoft Office (Excel, Word, Outlook); experience with bid management software a plus.
PREFERRED QUALIFICATIONS:
· Bachelor's degree in Business, Supply Chain Management, or related field.
· Previous experience in a contract management or pricing role within the foodservice industry.
