Chief Administrative Officer and Compliance Manager

HPE Capital Management II (HPE) is seeking an experienced and dynamic Chief Administrative Officer and Compliance Officer to oversee all administrative and compliance functions of our registered investment advisor firm. This position will play a critical leadership role, ensuring the smooth functioning of business processes supporting the management of a diversified portfolio of private equity funds of funds and direct investments. This executive will report directly to the Managing Partners and collaborate closely with senior management, finance, investment and operations teams.

Key Responsibilities

  • Administrative Leadership: Manage all administrative functions, including office management, IT, facilities, and general operations. Foster a culture of efficiency, transparency, and compliance throughout the organization.
  • Operational Oversight: Develop, implement, and maintain operational policies and procedures that support the firms investment advisory and fund management activities. Ensure that workflows are streamlined and that the firm operates within regulatory guidelines. This will include activities such as completion of subscription documents for new investments, AML/KYC procedures, communicating with external counsel, and maintaining proper documentation for compliance and reporting purposes.
  • Technology and Systems: Lead initiatives to enhance and maintain robust IT infrastructure, cybersecurity, and data management systems. Evaluate and implement technology solutions to optimize administrative and investment operations.
  • Third-Party and Contract Management: Negotiate and manage relationships with external service providers, including banking partners, fund administrators, legal counsel, auditors, and technology vendors.
  • Risk Management: Identify administrative and operational risks; develop and implement mitigation strategies to safeguard firm assets and reputation.
  • Banking: Manage borrowing advance and paydown process, quarterly and off-cycle compliance reporting, and act as secondary approver/admin for banking activity.
  • Investor Relations: Support inbound limited partner requests with other HPE team members and field requests to the necessary internal or external parties, including but not limited to assignments, subscriptions, and records requests.
  • Affiliated Entities: Support management of multiple independent investment vehicles, on behalf of the Managing Partners in tandem with CFO.
  • Compliance Coordination: Responsible for adherence to SEC and other regulatory requirements specific to registered investment advisors and private equity funds of funds. Oversee documentation, recordkeeping, and regulatory filings. Maintain HPE policies and procedures.

Qualifications

  • Bachelors degree in finance, accounting, economics or related field.
  • Minimum of 7 years experience in administrative, compliance or operations leadership, ideally within investment management, private equity, or financial services.
  • Demonstrated expertise in regulatory compliance for registered investment advisors and private equity funds.
  • Strong organizational, analytical, and communication skills.
  • Experience managing cross-functional teams and external vendors.
  • Proven track record of implementing operational best practices and technology solutions.
  • Ability to thrive in a fast-paced, dynamic, and highly regulated environment.
  • Experience with SEC examinations preferred.
